When calling into our office (909) 948-0777 please listen closely to
the options you have available. Many of our calls are able to be handled by simply listening to the information we have available
on our phone tree. Please have your homeowner ID# (found on your coupon book and all statements) and the name of your community
available when calling our office. You may dial one of our extensions at any time (located under Option 8). Below is a list
of options you have available when calling our office.
Option Description
1 Office Hours, Address and Fax Number
- If you need to know general information
about our office such as the info above, simply press Option 1
and you will hear a detailed message providing our general information.
2 How to Respond to a Violation or Hearing Notice
- If
you have just received a violation or a hearing notice and are not sure what to do, please press Option 2 and a detailed message will explain this process. Please
note that all communication in regards to a violation or hearing has to be in writing. Management is not permitted to discuss
any compliance issues over the phone. Your responses will be added to our Owner Tracking Report and forwarded to your Board
of Directors.
3 To Receive a Statement in the Mail from Our Accounts Receivable Dept.
- If you would like to receive a statement in the mail from our accounts receivable
department please press Option 3 and you
will be transferred to a mailbox where you can leave your information and a statement will be mailed to you. Some homeowners
simply want a printout of their statement and leaving a voicemail is a quick way to receive it (mailed within 1 business day).
4 To
Receive Information on Our Firm and Services that We Offer
- If you are a homeowner/board member and interested in obtaining a bid from Haven Management LLC to manage
your community, please press Option 4 and
leave your information in our marketing mailbox that is checked hourly by our office manager. The more details, the better.
- New Vendors seeking information on how to be added to our vendor list should sign up
on our vendor mailing list (please check our website).
5 Escrow Department
- If you are a real estate agent,
broker, mortgage lender, homeowner, etc and are currently involved or will soon be in a transaction regarding a property that
we manage, please press Option 5. All
necessary information (Rules & Regulations, CC&R's, HOA monthly assessments, etc.) is available at http://www.condocerts.com/
- Please note that Haven Management legally has 10 days to respond to all inquiries (Civil Code
1368 Paragraph A Section 8B).
6 Emergency Paging System
- If the call is an
emergency such as a broken gate, electrical problem, broken sprinklers, etc and requires immediate assistance, please press
Option 6 to be connected to our Emergency Paging
System and our on-call manager will assist you (24/7).
7 General Mailbox
- If you just have
a general question or would like to leave a general message please press Option 7
to go to our general mailbox. Our general mailbox is checked several times an hour and your information
will be forwarded to the appropriate management team member.

being a central part of our management team, please go to this extension if you need info on architectural applications, keys
and gate remotes.

an invoice has not been paid or if a vendor has a question about an invoice please go to this extension. Also go to this extension
if you need to update your vendor files with us (liability insurance, workers comp, contractor's license, etc).

- Please go to this extension if there is a question on your statement or
HOA assessments. If you are simply requesting a statement then please go to Option 3
at the beginning of our phone tree.

you need to reach. Please be sure to have your homeowner ID# and the association you are calling in regards to available when
